HR Assistant (Co-op)

Rainmaker / Mainframe Studios is looking for an enthusiastic, and highly organized Co-op HR Assistant to join our team, and gain real world experience in an exciting and fast-paced environment. You will be responsible for keeping our team organized and highly functional while learning the ins and outs of Human Resources within the Animation Industry. This is a paid co-op contract position expected to start in January, 2019. 

Responsibilities and Duties

Employee Administration:

  • Ensure that relevant, accurate and complete employee information is provided to payroll in a timely manner.
  • Administer the employee database, ensuring up-to-date employee information and data integrity.
  • Assists in resource meetings by reviewing and coordinating approval for contract extensions, promotions, work assignments, salary progressions and terminations. Prepare and administer required paperwork.
  • Maintain employee files. 

General Duties:

  • Maintain best practices as an HR professional.
  • Conduct the administration portion of the onboarding process.
  • Participate in the Culture Club Committee. 
  • From time to time participate/attend hiring fairs and industry nights.
  • Coordinate the dissemination of general human resources communication to all staff in a clear and concise manner.
  • Interact respectfully and professionally with colleagues, other staff members, partners and clients. 
  • Perform general office duties such as preparing and processing documents, filing, scanning and photocopying.
  • Other assigned administrative work and ad hoc duties as required.

Qualifications and Skills


  • 1+ years of administrative experience preferred but not required.
  • Must be a current student enrolled in a Human Resources post-secondary educational program that offers full-time co-ops for credit.
  • Available for a full-time Co-op for a minimum of 4 months, beginning in January 2019.


  • High degree of professionalism and confidentiality.
  • Able to work autonomously and be a self-starter.
  • Highly trustworthy and tactful in the handling of private and confidential information with discretion.
  • Proficient in Microsoft Office Suite including intermediate level knowledge in Word, Excel, Outlook, and PowerPoint. 
  • Strong attention to detail. 
  • Anticipates and deals with problems and issues in a persistent manner, seizing opportunities that arise and going beyond what is expected.  Accepts accountability for own actions.
  • Strong verbal and written communications skills. Practices attentive and active listening and is not afraid to ask questions.  Shares information and ideas with others.  Incorporates feedback and direction received from others.
